Lawrence Park Tennis Club
"Between the Lines"
June 8, 2015

There is so much going on at LPTC, both on and off the courts, that we wanted to give our members an overview of what's been happening and what is on the agenda. In this edition we highlight the following topics:
  • Constitutional Review Underway
  • June Adult/Intermediate Clinics
  • Calendars on our Website
  • Italian Night Dinner Reminder

FROM THE BOARD

Constitutional Review Underway
Since our original date of incorporation in 1973, legislation governing Not for Profit organizations (NFP's) has changed and the way business is conducted has evolved, necessitating a comprehensive and thorough review of the Club's existing Bylaw (also referred to as our Constitution).
Long before the clay was laid or the nets went up this summer, a small committee of members was formed and has been diligently meeting to review Lawrence Park Tennis Club's Bylaw/Constitution. Under the able chairmanship of Molly Greenwood, and with the volunteer support from Club member and lawyer Bob Milnes, Caroline Gray, and Puica Nitu have met regularly with two main goals in mind:
  • To make the current LPTC Bylaw/Constitution compliant with the new Ontario Not for Profit (NFP) Corporations Act.
  • To create a document that provides the necessary processes and controls to ensure the effective conduct of the business of the LPTC Board i.e. that assures governance of the club is legal, effective, and transparent.
The amount of research, writing/re-writing and work involved cannot be underestimated and still continues. The Board will review the first draft of the Committee's recommendations shortly to discuss and suggest any changes. Ultimately all recommended changes will be provided to the members in advance of the AGM for review and consideration before asking for your endorsement at the AGM. Our current ByLaw/Constitution, is available for viewing on our website under the "Our Board and Governance" tab.

 WEBSITE CALENDARS:
WHAT'S HAPPENING AT THE CLUB?

Have you ever decided at the last minute you'd like to come to the Club for a fast hit? What about tomorrow night? How do you know what's happening on the courts today, tomorrow, next week?  Simple solution-- go to the Home page of our website at www.lawrenceparktennisclub.ca, and click on View Calendar on the righthand side of the page under the list of Upcoming Events, or click Calendar at the very bottom of the page. That will take you to the Events Calendar page where you'll see a green box called Categories on the left side of the page. When you hover over that box, you'll see three different views from which you can choose:
  • Court Availability - Shows the available tag up time
  • Full Court Schedule - The most comprehensive view--shows all free tag up time, organized activities, and special events i.e. your "one stop shopping view"
  • Special Events - Highlights only the upcoming special events such as Clinics, Round Robins, Dinners
Choose your view then choose the week. We will keep these calendars updated at least two weeks in advance but please note things are always subject to change if rain dates are required, courts aren't playable due to inclement weather, etc. We will do our best to add last minute changes whenever possible. If in doubt you can always call the clubhouse at 416 483-2267, or check the bottom left corner of the home page of our website where our Court Monitor, Tony Ercolani, will Tweet any unexpected events/conditions.

ITALIAN NIGHT DINNER REMINDER:
JUNE 13th

We're pleased to say over 60 people have already registered using the sign-up sheet or online, for our Italian Night Dinner this Saturday, June 13th. Dinner will be served at 6:30 pm, so please arrive as close as possible to that time to ensure you get your serving. Sign-up for this event will close at 6 pm on Wednesday, June 10th, so don't be disappointed and add your name to the sign-up sheet in the clubhouse, or e-mail Social@LawrenceParkTennisClub.ca by Wednesday. If you already registered but cannot attend, please cross your name off the list and/or email as soon as possible so we can obtain the right amount of food. Rain date for this event is Sunday, June 14th. And don't forget to join us from 4 - 6 pm before the dinner for a social Round Robin.

For anyone willing to pitch in to help with cleanup, your assistance would be greatly appreciated.

Ciao,
Nelly & Anita

COURTS UPDATE

Sprinkler Maintenance: Fri. June 12th
Aquatech will be on-site to fix the sprinklers this Friday June 12th from 2 - 4 pm (weather permitting). They will service one court at a time so play will be interrupted for a short period of time on each court, but can likely continue on the other two courts. We ask for your co-operation in vacating your court as quickly as possible when asked to do so.

Court Sweeping: 6:00 PM
We have added an additional court sweeping (no watering) starting at 6:00 pm Mon. to Fri. up to and including June 19th immediately following the Junior Lessons. This process should only take 10 minutes per court with your co-operation in vacating the courts quickly when asked to do so. Th
ank you.

If you have any questions/concerns, please contact our Courts Chair, John Richardson, at Courts@LawrenceParkTennisClub.ca.
BRIGHT IDEAS
We welcome feedback and suggestions from our members to help improve the Club and enhance member experience. For those who don't know, we have "Compliments, Suggestions, Concerns" forms located in the clubhouse in the plastic holder on the side table. They can be deposited into the Guest Fee box for forwarding to the Board. We will highlight questions / comments and responses in our newsletters. You do not need to include your name, but it's helpful in case we need to clarify your suggestion / comment. You may also email comments to: Communication@LawrenceParkTennisClub.ca.

The following two suggestions were recently received--thanks to the members who took the time to submit them.

1) Comment: There are not enough racquet cover holders.
Reply:  We're not exactly sure what this means, but we're assuming the member is referring to the metal hooks at the end of each court where you can hang clothes, bags, racquet covers. In fact our House Chair, Anna Caton, purchased 3 sets of hooks, 4 hooks per set this season. Each set is hanging on the north fence behind each court. (They are the same colour as the fence though, so maybe they were overlooked). Courts 1 & 2 still have the old hooks hanging on the south fence (an additional 4 hooks per court). We thought this would be sufficient for holding all our "stuff" but let us know if not.

2) Comment: Any league rain dates, especially InterCounty, should not be held during prime time at the expense of other members' free time.
Reply: As members of community leagues, our teams are bound by the rules of those leagues and make-up matches are usually held at the same time of day as regularly scheduled matches. Our InterCounty teams are in an evening league and therefore make-up matches (which must be scheduled within 10 days and played within 26 days of the rain out), would likely be played in the evening, but could be and have been played on Sun. mornings using the existing InterCounty practice time to minimize impact to other Club members. Because there is always another club involved, we do not have the flexibility to arbitrarily pick a time of our choosing. Luckily we have not had any rainouts this year, but we are proud to support our teams and accommodate them when required.
