Kick up your heels!

It’s been great season of tennis and now’s the time to celebrate. Come on out to our end of season barn dance and dinner and awards presentation on Saturday, November 19th, starting at 6:15pm.

We’ll be serving a full country-style dinner with wine and beer available for purchase (one free drink with your ticket purchase). And for the entertainment, live music and a dance caller who’ll lead us through some foot-stompin’ country dancing starting at 7:15pm. Please don't be late!

The party will take place in the Community Hall at Lawrence Park Community Church, 2150 Bayview Avenue (on the north corner of Dawlish Avenue and Bayview Avenue). There is lots of parking at LPCC, on the north side of Dawlish Avenue or paid at the Green P lot across the road.

Cost is $10 for members and $25 for guests / dancing partners!

Volunteers Needed

As the season comes to an end, we have to start planning the closing of the Club.The Club will close at the end of October and I will be looking for help to remove the lines and nails, take down the screening and pick up leaves. If you can assist with any of this in early November, please let me know. Your help would be appreciated.

A December AGM – Why?
Those of you who have noticed this year’s December 10 AGM date on the LPTC website calendar, or heard about it by word of mouth, have raised a few questions about the lateness - “Why not an October AGM as usual when people are still around?” 

We felt it important that all members know the reason for the timing change since this is far from an arbitrary change and we recognize that a meeting closer to the end of the tennis season would suit better. So, why the change in timing? It is for the simple reason of enabling the Club to be in compliance with the legislation under which the Club is currently governed. The Corporations Act, Ontario, states in Section 97 that the directors shall “lay before the members at an annual meeting financial statements for a fiscal year completed not more than six months before the meeting together with the report of the auditor thereon.” The new legislation (Ontario Not-for-Profit Corporations Act) adds that financial statements cannot be “issued, published or circulated” unless approved by the Directors and accompanied by an audit or review engagement report.  

You may recall that the financial statements shared by the Board at previous years’ AGMs have included “year to date” figures for the current fiscal year. Final financial statements were only available for the previous fiscal year. This does not meet the requirement of providing members completed financial statements within six months of the current fiscal year. For 2016 the Board will be presenting completed financial statements that have been reviewed and approved for 2016, as well as for 2015. The books have to be closed at the end of the current fiscal year, October 31st, 2016, and the final financial statements prepared, reviewed and approved, before being shared with members. This end-of-year set of activities requires moving the AGM date to accommodate.

Finally, we regret that this may cause issues for those who go away in the winter. We do hope to see you at the AGM, but if that’s not possible, please register your votes via your Proxy form which will be sent to you with the AGM materials.
