Hi all

Welcome to 2020 a new year, a new decade and hopefully a new lease on photography life.

Hope everyone had a great break been practicing with all your photographic presents and ready for the year ahead.

VAPS Information
VAPS Interclub Upload System

There some important changes to the UPLOAD requirements for EDPI, Print and Audio Visual entries to the VAPS Interclub in 2020.

Please ensure these instructions are forwarded to your Club Competition Steward/s or the person responsible for compiling and uploading images and data to the VAPS upload system which is found under the Competitions tab on the VAPS website, or directly at

The requirements for EXIF (meta) data with digital images must be disseminated to all members.
The Upload system will open for uploading of CLUB entries as of 1st February 2020.

• Please also note the CUT OFF date for upload and delivery of prints is now the
29th MARCH, the new date of the VAPS Half Year Meeting.

• All DIGITAL Images MUST have the EXIF (meta) data attached to the image, this is essential in assisting us to identify camera type when assessing images for potential sponsor competitions.

• All PRINTS must have a digital image uploaded at time of entering Title and Maker. This digital image MUST also have the EXIF (meta) data attached.

• The Up Load system now has provision to upload a single image for each Audio Visual entry and also for the AV ID and Information form. Whilst there is an “Optional” button in the upload area it is the PREFERRED method of uploading this important information and will enable us to copy and paste that data to the judging sheets in a more timely and efficient manner.

We encourage Clubs to use this facility, it will become a requirement in 2021.

Audio Visuals can also be forwarded electronically using, or This is the PREFERRED method given the substantial file sizes. Entries sent in this manner must be forwarded to by the close off date of March 29th.

• This will further ensure secure delivery of your Audio-Visual entries and eliminate the potential loss of flash drives (memory sticks).

• Using Internet transfer of Audio Visuals will be a requirement in 2021.

VAPS will not be responsible for the loss of memory sticks sent with or returned with print bags.

The new website is now live.

Please explore the site so that you become familiar with it. We have tried to make it user friendly. The development of the site is an ongoing process and as we find issues will update them.

Some areas of the site require a login. These areas are used by relevant members of your club committee.
  • Uploading club member images to the club gallery
  • Annual Club Affiliation (membership renewal)
  • Application for Year Bars and Awards
  • Club contact details
  • Victoria Judges list - for use by your competition steward
So if you can't login, please don't contact us as it is more than likely that your club committee has not given you login details as you don't require them.

The 2020 convention details will be updated as we develop and finalise the program and the convention fees. Some convention information has already been posted.

Frankston Photographic Club has advised they will be running a series of specialised seminars over the next 12 months with some of the very best photographers presenting.

This is a great opportunity for club members to visit Frankston and experience these fantastic photographers through the new seminar series.

Malcolm is well known for his Photographic tours including tours - "Spotlight on Asia" and "Spotlight on Africa" and many other places as well.

It should be a fantastic evening.

Exhibitions and What's On
Focal Point Darkroom & Gallery is Geelong’s centre for photography and we would like to welcome groups from visiting camera clubs.
We have a new and exciting exhibition in our expansive gallery every month. Our reference library consists of almost 700 books on photography, and we have the largest and best-equipped public-access darkroom in Australia.
We are currently installing a small studio, which will be suitable for portraiture and product photography. The studio will be fully equipped and, best of all, will be available for hire from professionals and amateurs alike.
Groups are most welcome and we can tailor your visit to suit the needs of your members. We can include a workshop on darkroom techniques or film photography in general, or simply a demonstration of producing prints in the darkroom. If your members have no interest in the darkroom I’m sure you will enjoy the exhibitions in the gallery and we will put on morning or afternoon tea.
We can also host club exhibitions, events and meetings.
There are often other great photography exhibitions in Geelong, and the region is teaming with great photographic locations, so why not make a day or a weekend of coming to Geelong and include Focal Point Darkroom & Gallery in your itinerary.

Things to Do
APS Information
The society is inviting nominations from Victorian APS members to fill the position of APS State Representative.
The State Representative reports to the Chair of the State Representatives Sub Committee and the role involves:
  • Being the local face of APS in their State
  • To promote the APS to non-members in the State
  • To support APS and its Management and Office in their endeavours to promote the APS and its activities at State level
  • To help with general photographic queries and direct members to relevant sources of advice including the APS website
  • To make access to APS easier, particularly for those living in regional areas
  • To assist and organise APS meetings, outings and workshops if there is sufficient interest
  • To provide an APS presence where possible at appropriate events such as Camera Club and State Camera Club Body events, major photographic exhibitions and events
  • To liaise with the Chair of the State Representatives committee and the APS President and to work in the best interests of the APS
There is a high level of support for the State representative through the APS Office and the provision of operational manuals and procedure documents.

VAPS Objectives
  • To advance the art of photography.
  • To further the interests of affiliated bodies.
  • To draw up regulations governing exhibitions and inter-club competitions.
  • To arrange the exchange of guest lecturers and demonstrations on any subject relating to photography.
  • To arrange the exchange of prints between clubs.

A Brief History:
Camera clubs have existed in Melbourne since the 1890’s and an umbrella organisation called the Victorian Photographic Affiliation was formed in 1908. This guided amateur photography in Victoria for forty years. The Victorian Association of Photographic Societies was formed on 27 September 1952 and comprised of 12 clubs. This has grown to more than 70 clubs in Jan 2016. VAPS is a non-profit association that is entirely self-funded. The Association is run by an elected Committee of Management which is responsible for the operations of the Association, and for ensuring the Association fulfils the objectives.
