July Announcements

Happy Summer! We hope you are enjoying these warmer days and beautiful nights. The full moon last night was amazing. With the increasing heat, all of us need to make sure to plan ahead when we are caring for individuals and plan to be outdoors or in a home without air conditioning. This month has been so incredibly busy around the office as we prepared to start the new fiscal year. I want to give a HUGE shout out to Beth and Edith who had to work closely together to ensure that the information on respite authorization renewals was received in a timely manner from TCRC so we could issue our opening fiscal year letters to families last week. An additional round of applause goes to Laura, Karla and Kim in Payroll & Abbey, Danielle, Angie, Miriam, Julianna and Stacy in Family Services for all they've done in the past two weeks to process payroll on time and communicate with families about their respite hours.

Respite Hours Count on Day Worked NOT Day Paid
 
We noticed a lot of confusion over the past two payroll periods with families and caregivers so we want to clarify. When someone provides care on a certain day, those hours count toward the family's available balance of respite hours at that point in time (exact hour on that day), not when the caregiver is going to be paid.  

As an example, June 30th was a Sunday and the first day of the current pay period. All care provided on that day will be paid out July 19th. June 30th happens to also be the very last day of the fiscal year. If a family used up all of their respite hours in fiscal year 2018-19 in early June, then there were no authorized hours for them to use on Sunday, June 30th. Since all families' respite hours renewed on Monday, July 1st, that day was the first day they could have received free care from one of our Respite Caregivers.
Both families AND Respite Caregivers partner in scheduling the family's hours and in keeping track of the hours used and those available. When a family looses track of their hours, which does tend to happen more frequently in June, and they schedule a caregiver to work, the family is responsible for paying for all care they scheduled and received that exceeded their authorized hours. We ask the families to pay the caregivers directly instead of our organization, and we ask the caregivers to inform our office when they are not privately paid by the families so we can talk to the families.
